SPECIAL INFORMATION FOR INDIVIDUALS IN CANADA

If you are located in Canada, the following provisions apply to the processing of your personal information by the Council of Local Authorities for International Relations, New York Office (the “CLAIR New York Office,” “we,” “us,” or “our”), in addition to the main body of this Privacy Policy.

In the event of any inconsistency between this section and the main body of the Privacy Policy, this section shall prevail with respect to personal information subject to Canadian law.

Your rights may vary depending on your province or territory of residence.

Definitions
For the purposes of this section:

  • “personal information” means information about an identifiable individual, whether identified directly or indirectly
  • the CLAIR New York Office acts as the organization responsible for the collection, use, and disclosure of personal information in connection with its activities

Collection, Use, and Disclosure of Personal Information
The CLAIR New York Office collects, uses, and discloses personal information for the purposes described in this Privacy Policy, including:

  • administration of international exchange programs
  • coordination with local governments and partner organizations
  • organization of events, conferences, and cultural or policy initiatives
  • communication with participants and stakeholders
  • financial administration and payment processing
  • compliance with legal and regulatory obligations

Where required by applicable Canadian law, personal information will be collected, used, and disclosed with the individual’s consent, unless otherwise permitted or required by law.

The CLAIR New York Office will make reasonable efforts to ensure that personal information is accurate, complete, and up to date as necessary for the purposes for which it is used.

Individuals are encouraged to inform the CLAIR New York Office of any changes to their personal information.

Where inaccuracies are identified:

  • the information will be corrected as appropriate; and
  • where necessary, corrections will be communicated to third parties

If a disagreement regarding accuracy is not resolved, a note may be attached to the relevant personal information.

Safeguards

The CLAIR New York Office implements reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification.

Access and Correction Rights
Subject to applicable law, individuals have the right to:

  • request access to their personal information
  • request correction of inaccurate or incomplete personal information

These rights are subject to legal limitations and exceptions.

Withdrawal of Consent
Individuals may withdraw consent to the use or disclosure of personal information at any time, subject to legal or contractual restrictions.

Withdrawal of consent may impact the ability of the CLAIR New York Office to provide certain programs or services.

If you are a resident of Quebec, you may have additional rights under applicable law, including:

Data Portability
The right to receive personal information in a structured, commonly used, and machine-readable format, and to request that it be transferred to another organization where technically feasible.

Right to De-indexation
The right, in certain circumstances, to request that personal information no longer be disseminated or that links to such information be de-indexed.

Requests, Questions, and Complaints
Requests to exercise rights, as well as questions or complaints regarding the handling of personal information, may be submitted using the contact information provided in this Privacy Policy.

The CLAIR New York Office will respond to such requests in accordance with applicable Canadian privacy laws.
